The Role
The agency is seeking candidates who hold active NV1, NV2 or TSPV security clearances. Please clearly indicate the level held within your responses. Project Support Officers assist in the operations of a Project/Program/Portfolio Office and the delivery of projects.

They require multiple APS5 equivalent Project Support Officers to fill positions across the organisation. A merit pool will be created for future positions that may arise. Suitable candidates will be required to complete agency’s Organisational Suitability Assessment (OSA). This will be required either prior to commencing or within 12 months of commencement, as required by the assigned work area. The agency will allocate successful candidates to work areas based on operational needs.

The agency expects these candidates will demonstrate technical expertise and be able to undertake work that is complex in nature. They will be able to operate with limited direction. They will be accountable for organising their workflow and making independent decisions relating to their area of responsibility. They are accountable to have and maintain a well-developed understanding of and compliance to relevant legislative frameworks, government decision-making and agency’s mission and policy requirements.
The PSOs will be accountable for organising their workflow and making independent decisions relating to their area of responsibility. They will interpret and provide advice within the project control function based on legislation, policy and procedures. They will undertake specialist research and analysis, conduct reviews and perform procedural and administrative support work to achieve results. They will also coordinate and contribute to the work of a team consistent to a work plan and provide advice and assistance on methods of task completion to team members.

Key Responsibilities

  •  Accountable to contribute to the development and maintenance of project, program and/or portfolio planning and performance processes in accordance with agreed procedures and performance standards.
  • Assist with preparations for project test, evaluation and acceptance programs.
  • Apply project management methodologies to administrative and technical activities.
  • Research, draft and prepare briefs, correspondence and reports including submissions for committee consideration.
  • Work collaboratively, operate as an effective team member and provide constructive feedback.
  • Engage with relevant stakeholders and understand their expectations and concerns.
  • Adjust project management methodologies to comply with legislative, policy and regulatory frameworks.
  • Resolve problems using expertise, taking the initiative to identify alternative courses of action.
  • Maintain project financial records under the direction of the Project Manager.
  • Conduct other project-related tasks within the scope of the stated APS level, as required by the assigned work area.

The Candidate
Essential Criteria:

  • MEAS 5 – Measurement: Level 5 (SFIA) Establishes measurement objectives and the scope of measurement for functions, teams and projects. Plans and implements improvements to measurement capability. Provides advice and guidance for effective use of measures and measurement. Selects measures appropriate to the context and organisational objectives. Reviews data collection and storage mechanisms to support measurement. Contributes to organisational policies, standards, and guidelines for measurement.
  • METL 5 – Methods and tools: Level 5 (SFIA) Provides advice, guidance and expertise to promote adoption of methods and tools and adherence to policies and
    standards. Evaluates and selects appropriate methods and tools in line with agreed policies and standards. Contributes to organisational policies, standards, and guidelines for methods and tools. Implements methods and tools at programme, project and team levels including selection and tailoring in line with agreed standards. Manages reviews of the benefits and value of methods and tools. Identifies and recommends improvements.
  • PROF 4 – Portfolio, programme and project support: Level 4 (SFIA) Supports programme or project control boards, project assurance teams and quality review meetings. Takes responsibility for the provision of support services to projects. Uses and recommends project control solutions for planning, scheduling and tracking projects. Sets up and provides detailed guidance on project management software, procedures, processes, tools and techniques. Provides basic guidance on individual project proposals. May provide a cross programme view on risk, change, quality, finance or configuration management.
  • J2:5 – Business Skills: Level 5 (CIISEC) Takes actions to achieve greater corporate efficiency. Interprets and reinforces the importance of strategic aims to colleagues. Uses strategic aims to prioritise and drive plans to maximum benefit to the organisation. Influences business decisions.

Technical skills

  • Minimum of 3 years experience in a PSO or similar role.
  • Knowledge of project management methodologies, e.g. PRINCE2
  • Experience working with Microsoft 365 and other software applications.

Highly Desirable:

  • Candidates must have a NV1, NV2 or TSPV security clearance.
